1. What we collect

When you request a preview: your name, work email, current website address, and what you would like to improve.

When we talk to you: notes from calls and emails, and your business phone number if you share it.

When you visit the site: if you accept analytics cookies, basic technical data such as browser type, device and pages visited, collected through Google Analytics. If you decline, no analytics data is collected.

2. How we use it

To create and send your free homepage preview, to contact you about it, to prepare a quote if you ask for one, and to deliver the full website if you go ahead.

We also use publicly available information about your business, such as your current website, to design the preview.

3. Our legal basis

We process your data to take steps at your request before entering into a contract (your preview request), and for our legitimate interests in running and promoting our business. Where the law requires consent, for example for analytics cookies or certain marketing emails, we will ask for it.

4. Calls and marketing

If we contact your business by phone, we screen numbers against the Telephone Preference Service (TPS) and Corporate Telephone Preference Service (CTPS) first. You can ask us to stop contacting you at any time, and we will record and respect that request.

Every marketing email includes a way to unsubscribe.

5. Who we share it with

We do not sell your data. We share it only with service providers who help us run the business, under contracts that require them to protect it. These include Netlify (website hosting), Airtable (storing preview requests) and Google (analytics, only if you accept cookies).

Some providers may store data outside the UK. When they do, we rely on UK-approved safeguards such as adequacy regulations or the International Data Transfer Agreement.

6. How long we keep it

Preview requests that do not become projects are kept for up to 12 months, then deleted. Client records are kept for as long as we work together and up to 6 years afterwards for legal and accounting purposes.

7. Your rights

You can ask to access, correct or delete your data, to restrict or object to how we use it, or to receive a copy in a portable format. Email hello@heytrace.ai and we will respond within one month.

If you are unhappy with how we handle your data, you can complain to the Information Commissioner’s Office (ico.org.uk).

8. Cookies

We use only what the site needs to work, plus Google Analytics cookies if you accept them in the cookie banner. Your choice is remembered on your device for 6 months; clear your browser storage to change it.

1. What the free preview includes

One custom homepage design for your business, shown for desktop and mobile, shared on a private preview link. We aim to deliver it within 48 hours (two business days) of receiving your request.

2. What it does not include

Source code, design files, additional pages, hosting, or launch on your domain. These are part of a paid project.

3. No cost, no obligation

The preview is free. You are under no obligation to buy anything, and we will not charge you unless you accept a written quote.

4. Eligibility

Free previews are offered to businesses at our discretion. We may decline or limit requests, for example if we cannot reach a decision-maker, or for more than one preview per business.

5. Your current website

Your existing website stays live and unchanged. The preview is hosted separately and is not public. We work only from publicly available information unless you choose to share more.

6. Your content and ours

Your business name, logo and content remain yours. You give us permission to use them only to create your preview.

The preview design remains ours until you commission the project. If you do not go ahead, you may not use, copy or have someone else build from the design.

7. Showing the work

We will not publish your preview or name your business in our marketing without your written permission.

8. If you go ahead

The full website is a separate paid project covered by a written quote and agreement. Ownership of your domain and content stays with you.

9. General
